Buckingham Palace garden parties: guidance notes

Guidance for those who wish to nominate a councillor or directly employed council officer to attend this once-in-a-lifetime experience.


  • Under data protection legislation, an individual’s consent is required to process their personal data for the purpose of nominating them to attend a Garden Party. You need to obtain consent from all nominees to process their data prior to submitting the completed form.
  • The data you provide will be processed for the purpose of issuing invitations to this event and to cater for guests with special needs. Whilst most data will be retained indefinitely as an historic record of attendees, any sensitive (“special category”) personal data will be deleted six months after the event. The Keeper of the Privy Purse is the data controller responsible for processing this personal data on behalf of the Royal Household. This organisation complies with the Data Protection Act 2018.   • Nominated and accompanying guests should NOT have previously attended a Garden Party. It would be helpful if you could check this before submitting their names to us to avoid any disappointment or embarrassment.
  • All nominated guests must be over the age of 18 years.
  • All nominated guests should be accompanied unless he or she specifically requests otherwise, but within your overall quota. However, should any guest request to attend unaccompanied then please make certain that this option is selected on the form.
  • Older people or disabled people who need assistance must be accompanied.
  • Disability badge (Blue Badge) holders may apply for parking. Requests for disabled access should be entered on the nomination form. An additional form will be included with the nominee's invitation requesting details of their disability badge, upon receipt of which a parking label will be sent to the guest.
  • All nominated guests must be British, Commonwealth or European Union citizens, although their husbands, wives or companions may be of other nationalities. All guests, nominated or accompanying, must be resident in the United Kingdom.
  • Each nominated guest could also be accompanied by up to two of their children, if the whole family is involved in carrying out public or volunteer work. They must be between the ages of 18 and 25 and also within your overall quota.
  • A party may number up to a maximum of four people only when it consists of the main guest, their spouse or partner and two of their children between the ages of 18 and 25.
  • Guests will be required to bring two forms of identification with them, one of which must be photographic, to confirm their full name, date of birth and current address. Therefore, all names and addresses submitted to us must match the details on these forms of identification to allow them to gain access to the event. If in doubt, please check with the guests.
